Understand the API
The WhatsApp Business Platform connects business software to WhatsApp messaging. Cloud API is Meta’s hosted API for that connection. It supports programmatic messaging and integration; Sendwo adds the interface your team uses to set up campaigns, automation and replies.
The familiar consumer app is for everyday personal conversations. It is different from the business tools used to manage customer communication.
A business-facing app for customer chats, a business profile and built-in tools. It can suit teams whose customer messaging is still largely managed through the app.
Messaging infrastructure for connected business workflows. With Sendwo, your team can use it through software for campaigns, chatbots, integrations and shared conversations.
Choose the right setup
Choose based on how your team needs to work, rather than assuming every business must replace its existing app.
| What to consider | WhatsApp Business App | WhatsApp Business API + Sendwo |
|---|---|---|
| Business suitability | Day-to-day customer messaging managed through the app. | Connected messaging workflows, structured campaigns and team operations through Sendwo. |
| Campaigns | Use the business messaging and broadcast options available for your app, account and market. | Send approved template campaigns to eligible, opted-in audiences, subject to Meta limits and rules. |
| Automation | Built-in business tools and available app features. | Configure chatbot journeys, sequences and supported AI-assisted workflows in Sendwo. |
| Team collaboration | Use the device and team features available under your app offering. | Handle replies through a shared inbox with agent assignments, notes and customer context. |
| Integrations | App features and integrations depend on the available offering. | Connect supported business systems using Sendwo integrations, APIs and webhook workflows. |
| Charges | App terms and any optional paid business features apply. | Sendwo software charges and applicable Meta messaging charges are separate. |
| Existing Business App number | An eligible number may continue using the app through supported Coexistence onboarding. | Coexistence can connect an eligible Business App number to the API while retaining supported app use. |
Already using a WhatsApp Business number? Review WhatsApp Coexistence before changing your setup. Availability depends on the number, account and supported onboarding path. Do not delete the app account as a default first step.
WhatsApp API setup
The exact screens can vary with your number and account status. These are the practical stages to prepare for when connecting WhatsApp Business API with Sendwo.
Start with a free software account and review the capabilities included for your expected usage.
Use the supported onboarding process to connect the WhatsApp Business account and relevant business assets with the permissions you are authorized to grant.
Follow the number-verification and eligibility steps presented for your setup. Additional business information or verification may be required.
Set up the business profile and prepare an appropriate message template. Template review and approval are handled by Meta.
Check a test message and incoming reply before enabling a campaign, chatbot or shared inbox workflow for your audience.
After connecting the API
Sendwo turns WhatsApp API access into workflows your marketing, sales and support teams can use. Start with the customer task you need to improve, then configure the relevant tools.
Campaigns
A promotion or product update should reach the people it is intended for. Prepare the audience using supported labels and customer fields, choose an approved template, and configure the campaign timing.
Review the delivery results and continue replies in the inbox.
Select the eligible subscriber group for the message.
Match content and category to the intended use.
Send the configured campaign and inspect the available results.
A customer starts a WhatsApp conversation.
Provide relevant information and collect the needed context.
Continue through the team workspace with the customer context.
Chatbots and Sendwo AI
Build a structured conversation that asks the right questions, captures a requirement and helps the customer continue. Use Sendwo AI where configured for the questions that benefit from AI-assisted replies.
Keep a clear route to a person when the customer needs more help. Explore WhatsApp chatbot workflows.
Shared inbox
A campaign can create new questions as well as interest. Use Sendwo’s shared inbox to assign conversations, retain internal notes and keep the available customer details close to the reply.
That helps the next agent understand the conversation rather than asking the customer to explain it again. See the shared team inbox.
Give the conversation a clear owner.
Retain useful context for the team.
Continue the conversation in the shared inbox.

Lead and customer information
Use supported WhatsApp Flows to collect structured information, or conversational Input Flows to ask questions through the chatbot. Save the relevant responses in your configured subscriber workflow.
The right requirement, preference or booking detail can help your team prepare a more relevant next step. Native WhatsApp Flows and conversational Input Flows are distinct tools.
Business system connections
Use supported ecommerce integrations and webhook workflows to bring store or business events into a WhatsApp messaging journey. Order updates, cart reminders and customer follow-up each need the right data and message format.
Shopify, WooCommerce, CRM and automation connections depend on your configured integration. The API is the messaging connection; Sendwo supplies the tools to organize and run the workflow.
A supported store, form or business system supplies the data.
Map the information and choose the intended action.
Use the appropriate approved template or permitted response.
WhatsApp Business API pricing
Your Sendwo software plan and Meta’s WhatsApp messaging charges cover different things. A free software plan does not mean every API message is free.
Choose the Sendwo plan for the software capabilities, team access and usage you need. A free entry plan is available; advanced capabilities and dedicated support depend on the plan.
Review current plan limits before starting a production workflow.
Meta’s applicable messaging charges are separate. Sendwo adds no markup to those Meta charges.
Meta uses per-delivered-message pricing for chargeable templates. The category, recipient market and applicable pricing rules affect the rate; it is not a blanket fee for every 24-hour conversation.
Offers, promotions and other marketing templates follow the applicable Meta marketing rate.
Non-promotional updates linked to a user action. Meta provides a no-charge exception for qualifying utility replies within the customer service window.
Verification-code templates follow the applicable authentication rate and market rules.
Free-form replies within the permitted 24-hour customer service window are currently not charged by Meta. The window resets with a customer message.
Rates, categories, eligibility and exceptions can change under Meta’s rules. Use the current rates when budgeting for a campaign.
